POSITION DESCRIPTION: PROGRAM COORDINATOR
Title: Program Coordinator
Reports to: CEO
Status: Non-Exempt, Part-Time or Full-Time (TBD)
Salary Range: $17-$20
Hours: Weekdays as arranged. 1-2 evenings a week for Pantry operations required as needed. These may be rotated with other staff.
Special Note: This position may be filled on a full-time or part-time basis, depending on the qualifications, experience, and availability of the selected candidate.
Supervises: Potential for supervising one or more program support staff and/or interns
Position Summary
The Program Coordinator oversees and coordinates United Way of Freeborn County’s internal programs, ensuring they operate smoothly, safely, and in alignment with UWFC’s mission, values, and community commitments. The Program Coordinator provides operational leadership for internal direct-service programs—most notably the Welcome Pantry—while also supporting cross-functional efforts such as volunteer engagement, food access initiatives, and seasonal community programs.
Core Responsibilities
1. Program Coordination & Oversight
- Coordinate the day-to-day operations of UWFC’s internal programs, including the Welcome Pantry and other direct-service offerings
- Ensure program spaces are prepared, organized, and safe for volunteers, staff, and community members
- Monitor program flow, capacity, and volunteer coverage; adjust schedules as needed
- Support partnership alignment and cross-referrals with the Senior Navigator and external Senior Advocate agency
- Identify operational challenges and share recommendations with the CEO
2. Staff & Volunteer Leadership
- Supervise and support Program Support Staff and/or Food Access/Retail Rescue Support Staff based on assignment
- Provide training, workflow guidance, and performance support
- Oversee volunteers assigned to internal programs; ensure they receive clear direction, safety expectations, and a welcoming environment
- Assist with onboarding and cross-training to support organizational resilience
3. Welcome Pantry Operations
- Coordinate weekly food deliveries, unloading, and storage (training provided)
- Serve as the on-site lead for assigned pantry shifts, ensuring adequate staffing and volunteer coverage
- Ensure compliance with food safety standards and pantry protocols (ServSafe certification required and provided)
- Support accurate data entry, reporting, and recordkeeping in collaboration with the Operations Specialist
- Exercise sound judgment in high-volume or complex situations involving shoppers or volunteers
4. Coordination With Food Access & Retail Rescue
- Collaborate with the Food Access/Retail Rescue Support Staff to meet program goals
- Provide direction, workflow planning, and problem-solving for daily food access operations
- Support or oversee retail rescue pickups and donation handling as assigned
- Maintain strong relationships with partner agencies, donors, and vendors involved in food access work
5. Collaboration & Continuous Improvement
- Work collaboratively with the CEO, Senior Navigator, Operations Specialist, and community partners to ensure aligned service delivery
- Participate in policy, procedure, and program development conversations
- Assist with data collection and documentation needed to evaluate program effectiveness
- Maintain strong community relationships and represent UWFC in a professional and mission-centered manner

- Provide warm, respectful customer service to all community members, donors, and partners

Education & Experience
- Preferred AAS or BA in Human Services, Nonprofit Management or related field
- Equivalent experience considered
- Supervisory or lead experience strongly preferred
- Experience in direct-service, volunteer coordination, or food access programs preferred
Pay differential of 5% for bilingual proficiency in Spanish or Karen.

Senior Services Navigator
Status: Non-Exempt | Part-Time
Reports to: CEO
Salary Band (Coordinator): $17.00–$20.00/hour
Schedule Expectations: This position may be from 20+ hours a week. Both part time and full time schedules will be considered. Primarily weekdays as arranged. Occasional evening or community events may be required.
Position Summary
The Senior Services Navigator serves as a front-line resource for older adults seeking assistance with basic needs and local services. This role provides navigation, triage, and short-term support, helping seniors understand available resources and connect to the appropriate level of service.
The Senior Services Navigator works in coordination with community partners and Connected Community staff who are frequently in the field, providing a consistent in-office access point for seniors when other staff are offsite. This position also coordinates volunteers supporting senior services, including monthly apartment and home delivery for CSFP clients.
1. Senior Navigation & Direct Support
- Serve as a first point of contact for seniors seeking assistance.
- Conduct brief, strengths-based intake conversations to identify needs and next steps.
- Provide information, referral, and short-term problem solving related to food access, transportation, energy assistance, and other basic needs.
- Assist with basic, client-directed paperwork and applications.
- Facilitate warm referrals to regional advocates or other partners when needs exceed the scope of navigation.
- Maintain predictable office hours for in-person and phone support.
2. Volunteer Coordination & CSFP Home Delivery
- Coordinate monthly CSFP home and apartment building delivery
- Verifying volunteer availability and assignments
- Coordinating delivery logistics and confirming senior recipients
- Supporting delivery execution and submitting required documentation
- Verifying volunteer availability and assignments
- Communicate regularly with volunteers and provide ongoing guidance and support.
- Serve as backup delivery support when a volunteer is unavailable.
- Support volunteer recruitment activities, including informational sessions or open houses.
3. Collaboration & Community Coordination
- Work collaboratively with staff of partner agencies who are frequently offsite conducting field-based work with seniors.
- Serve as a consistent in-office resource for seniors while partner staff are in the field.
- Respond to general navigation questions and direct project-specific needs back to appropriate partner staff.
- Coordinate with community partners to support continuity of service
4. Outreach & Community Engagement
- Represent United Way of Freeborn County at community events where seniors and caregivers are present.

Food Access / Retail Rescue Support Staff
Status: Non-Exempt | Part-Time
Reports to: Program Coordinator (or CEO, depending on hire and skill set)
Salary Band (Support Staff/): $14.00–$17.50/hour
Schedule Expectations: Wednesday mornings are required. This position may serve as a pantry lead on Wednesday or Thursday evenings on a rotating schedule if the individual is qualified to provide leadership; otherwise, hours will be primarily during the day, Monday through Thursday.
Special Note on Position Flexibility
This position is designed to be flexible. Hours may be as few as 5 hours/week or up to 20 hours/week with additional hours available for special events or seasonal support (Oct-Dec). Depending on the skills, experience, and availability of the selected candidate, the role may be structured as an entry-level or supported job placement, or as an expanded part-time role with additional responsibilities for individuals with relevant experience and demonstrated independence and leadership. Core responsibilities will be maintained in all configurations. Please note that the physical demands are not able to be changed, and is an essential function.
Position Summary
The Food Access/Retail Rescue Support Staff position supports United Way of Freeborn County’s mission by ensuring safe, reliable, and dignified access to food for community members. This role provides hands-on logistical, delivery, and pantry support for food access programs, including retail rescue pickups, pantry operations, and seasonal initiatives.
This is a physically active, community-facing role that works closely with volunteers, staff, and donor partners. While volunteers support many activities, essential duties must be completed independently when volunteer coverage is limited.
1. Food Access & Pantry Operations
- Unload food deliveries and move cases, boxes, milk crates, and produce.
- Transfer food into refrigerators, freezers, and designated storage areas.
- Stock, rotate, and organize shelves to support safe and dignified shopping.
- Set up and break down pantry operations, including carts, tables, and signage.
- Perform routine cleaning and sanitation of pantry and backstock areas.
- Ensure safe access to the pantry area during operations, including monitoring conditions and applying spot snow and ice treatment to sidewalks and ramps as needed during active weather. Primary snow removal is provided by the landlord.
2. Retail Rescue & Food Transportation
- Complete scheduled retail rescue pickups from partner businesses.
- Load, secure, and transport food donations safely
- Maintain positive, professional relationships with donor partners.
- Track and report pickup details, volumes, and any concerns to the Program Coordinator.
3. Volunteer & Shopper Support
- Work alongside volunteers, modeling safe lifting, food handling, and respectful engagement.
- Provide direction to volunteers during pantry shifts when delegated and qualified.
- Assist pantry shoppers in a welcoming, culturally responsive manner.
- Step into direct service coverage when volunteer support is limited.
4. Safety, Compliance & Reporting
- Follow food safety, handling, and storage guidelines.
- Follow UWFC safety policies related to lifting, carts, winter operations, and vehicle use.
- Report equipment, facility, or safety concerns promptly.
- Complete basic tracking and reporting as directed.
